Quotations

A Quotation is an official cost estimate you build for your client. It pulls data together from your saved equipment pricing and site plans so you can calculate your profits and offer clear pricing to your customers.


Depending on the device you are using, you can find your quotes here:

It appears as a dedicated section directly inside your Project Details screen. You can also click the Expand Icon (the button with two small diagonal arrows) right next to the add button to open your full quotations page on its own screen.

To start a new estimate, click or tap the orange + New Quotation button. This opens a form window with these options:

  • Quotation Name: Automatically generated by the app (for example, P102Q01).
  • Select Site Plan(s): Check the boxes next to the site maps you want to link. Linking a site plan activates the Quotation Assist feature, which automatically counts and pulls the device types and route quantities you drew on that map.
  • Valid Until: Choose an expiration date for your quote from the calendar popup.

Quotes move through two primary stages:

  • Draft: The initial status when a quote is still being built or updated.

  • Selected: Change the status to Selected once your customer officially accepts the quote.

When your quote is saved, it appears in your main list along with data metrics like your Dealer Total, Retail Total, and Projected Gross Profit.


Every quotation row in your list features a set of quick Actions icons on the far right. These allow you to manage your documents instantly without opening the full page:

  • Eye (View) Icon: Opens the full breakdown dashboard for that quotation so you can modify items and view deep totals.
  • Printer Icon: Takes you directly to the document print layout screen to prepare a PDF copy for your client.
  • Trash Can (Delete) Icon: Permanently removes the quotation from the project.

Clicking the Eye (View) Icon opens the quotation’s main workspace. This view features:

  • Header Controls: A toggle to quickly change the status to Mark as Selected, a Delete button, a Print Quote button, and a main + Add Item button.
  • Financial Summary: Live summary cards at the top showing the running totals for your Retail Total, Dealer Total, and Projected Gross Profit.
  • Category Tables: Clear rows separating your items into hardware brackets (like Camera, DVR/NVR, etc.). Each table features its own smaller, orange + Add button to let you drop gear straight into that specific group.

When adding materials, labor, or transport to your quote, the app updates its window fields to make data entry easy:

Clicking the main + Add Item button opens a large popup choice window where you can check Custom Item or use a Category Dropdown Menu to choose your hardware classification.

This field tracking works across these standard item types:

  • Camera, DVR/NVR, Storage, Network Devices, Power Supply, Video/Network Cable, Power Cable, Display Cable, Connectors & Adapters, Monitor, Mounting Accessories, Installation Hardware, and Other.

When choosing a type that supports Quotation Assist (such as Camera, DVR/NVR, Cable Types, Installation, or Installation Hardware), the window displays a dedicated breakdown block (like Cameras from Site Plan). This displays the total count of components found on your linked map and lists them out by name (like Cam 1, Cam 2, IP Cam) so your quantities are completely accurate.

When you add items to your logistics section, the form opens fields to type an Internal Name, Display Name, Vendor, Quantity, Dealer Price, and Retail Price. The system calculates your financial totals automatically.

Opening the labor window gives you a toggle switch depending on how you calculate wages:

  • Select Employee (Off): Displays fields to select a general Payment Type (like Daily Wage), search your general Personnel roles, and set custom rates and descriptions.
  • Select Employee (On): Simplifies the form into a single Select Employee dropdown line and a Days count box to run quick totals for a specific staff member.

When setting up installation costs, the window features fields for the Internal Name, Display Name, an Installation Devices from site plan display (powered by Quotation Assist), a Quantity counter, an Amount box, an auto-calculated Retail Total, and a Warranty dropdown selection menu.


You can open the Quotation Print page by clicking the Printer Icon on your main quote list or by clicking Print Quote from inside the quotation header.

This screen shows a live document preview of your final print layout. At the top of the page, clicking the Configuration button opens a dropdown box where you can adjust what details your client sees:

  • Show Prices: Toggle to show or hide item costs on the final client document.
  • Show Internal Names: Toggle to show internal product codes alongside client-facing display names.
  • Aggregate Settings: You can toggle buttons to group and clean up details across your document:
    • Aggregate Installation Hardware, Aggregate Logistics / Travel, Aggregate Labor, and Aggregate Installation. Turning these on groups small single items into clean, combined line categories so your client sees a tidy final breakdown.

If you have uploaded a standard Terms & Conditions document inside your app Settings, you will see a green text confirmation reading “Terms & Conditions will be included”. The app will automatically bundle your legal terms onto the back of your quote. The main button will turn into a bright orange Print Quotation + T&C action key.
