Project Personnel

The Personnel dashboard is your central station for tracking everyone working on the installation site. It lists out your field technicians and freelancers, handles their payouts, and logs labor costs to keep your project on budget.

It shows up as a dedicated section right inside your main Project Details control screen. You can also click the Expand Icon (the button with two small diagonal arrows) right next to the orange button to view project personnel on its own full screen.

You don’t always have to add workers by hand! The dashboard automatically imports any labor assignments you already created when adding labor items to your chosen project quotations.

When you click the pencil Edit Button on a personnel’s row, a window pops up detailing their rate and task description. Here you can track their payment lifecycle:

  • Actual Total Field: Type in the final amount due or paid to the worker.
  • Status Dropdown: Label the worker’s payout status as either Pending, Paid, or Cancelled.

Once you switch the status to Paid, a Payment Details container appears inside the window. Use this to select the exact Payment Method and type in the Reference Number of the receipt they gave you so your books are balanced.

If you need to add extra site workers who weren’t in your original client quote, click the orange + Add Personnel button. The fields change depending on whether you are adding a general contractor/freelancer or a registered staff employee:

Keep the Select Employee toggle off when logging general personnel who have custom project rates:

  1. Search and Select: Use the Personnel dropdown box to search for a worker. The Daily Rate and OT Hourly Rate fields will automatically fill up using the rates saved in that worker’s profile.
  2. Adjust Rates: If you need to change their standard pay for this specific job, you can manually type new values directly over the filled-in rates.
  3. Log Quantities: Enter the total number of Days and OT Hours they worked.
  4. Description: Add an optional description to outline what tasks they handled on the site.
  5. Select Quotations (For Reference): Check the boxes next to your project quotes to track exactly which quotations this labor cost references.
  6. Click Add Personnel to save the entry.

This treats your manual additions differently than the ones pulled from your customer quotes:

  • Quoted Personnel: These lines are imported directly from your project quotations and cannot be accidentally deleted from this view.
  • Non-Quoted Personnel: Any staff you add manually from this dashboard will show a distinct Delete Button (Trash Icon) inside their list row. You can click it anytime to remove them from your active project costs completely.
