Profit & Loss
The Profit & Loss page gives you a full breakdown of your project’s financial health. It gathers all your costs and income in one spot so you can see exactly how much profit you are making on the job.
How to Open Profit & Loss
Section titled “How to Open Profit & Loss”The Profit & Loss statement is available on all devices as a standalone page accessible from your main project details area.
Go to the Accounting & Financials section at the bottom of your Project Details page and click the Profit & Loss card.
Understanding Your Financial Summary Cards
Section titled “Understanding Your Financial Summary Cards”When you open the page, the summary cards at the top show you a quick look at the project’s overall money stats:
- Retail Total: The total value of the project at your standard customer-facing prices.
- Dealer Total: The total cost of the project using baseline dealer prices.
- Money Received: The total amount of cash you have successfully collected from the client via receipts.
- Total Discount: The total amount of price reductions given to the client.
- Actual Cost (Quoted): The actual money spent on purchasing the gear and labor that was originally quoted.
- Actual Cost (Non-quoted): The actual money spent on extra items, returns, or miscellaneous entries that weren’t part of the original quote.
- Proj. Gross (Projected Gross): Your expected profit margin calculated before starting the physical job.
- Actual Gross: Your real profit margin calculated from what you actually spent versus your retail prices.
- Net Profit: The final amount of money you cleared after factoring in all actual costs, receipts, adjustments, and extra fees.
How Items and Money Flows are Listed
Section titled “How Items and Money Flows are Listed”Below the summary cards, the page displays your financial data categorized neatly into standard groups—just like they were organized when you built your quotations (such as Camera, DVR/NVR, etc.).
1. Smart Cost Tracking
Section titled “1. Smart Cost Tracking”The dashboard logs every single money flow tied to your project:
- Profit Items: Earnings and incoming revenue values are highlighted in green text.
- Expense Items: Costs and outgoing expenses are shown in red text.
2. Comprehensive Tracking
Section titled “2. Comprehensive Tracking”The list factors in every line item across your project operations:
- Client payments (Receipts).
- Extra hardware items added directly during shopping (Non-quoted items from procurement).
- Extra travel or transport expenses added directly to the project (Non-quoted logistics / travel).
- Extra on-site crew or internal staff added manually (Non-quoted personnel).
- Custom cash tracking additions (Misc entries from your cash flow log).
- Hard costs logged when executing the job (Actual costs from procurement, logistics, and labor).
3. Filters and Visual Tags
Section titled “3. Filters and Visual Tags”- Quotation Filtering: If you need to view stats for a specific layout option, click the All Quotations dropdown menu at the top right to filter the page.
- Non-Quoted Tag: Any item that you didn’t include in the original quote but added later during procurement or setup will feature a purple Non-quoted tag so you can spot unexpected project expenses instantly.
Understanding Item Grid Columns
Section titled “Understanding Item Grid Columns”Each item row contains a detailed column layout tracking your prices, adjustments, and final profit margins side-by-side:

| ITEM / VENDOR / QTY | Shows the item’s name, the hardware supplier, and the total item count. |
| DEALER PRICE / TOTAL | Displays your baseline supplier cost per unit and your total expected dealer cost. |
| RETAIL PRICE / TOTAL | Displays your standard customer-facing price per unit and the total retail sum. |
| PRICE ADJ. / ADJ. RETAIL | Shows any manual discounts or price markups applied directly to that specific line item. |
| ACTUAL PRICE / TOTAL | Tracks the real-world cost you paid to the vendor per unit and your true final expense total. |
| PROJ. GROSS | Your expected profit margin calculated before starting the physical job. |
| ACTUAL GROSS | Your true final profit margin earned after capturing all real-world purchase costs. |
